Mohan Impex: import-export, manufacturing and HRMS digitised end to end on ERPNext v14

India

A growing import-export and manufacturing company was running accounting, inventory, procurement and HR on disconnected tools and spreadsheets — with the GST compliance risk that goes with it. ATS delivered a full AnvikERP (ERPNext v14) implementation that put every business process on one platform.

The challenge

Growing faster than the spreadsheets could follow

Mohan Impex imports, manufactures and sells through channel partners. Each function had its own tools: accounting in one place, inventory and procurement tracked in Excel, HR somewhere else. Reconciling them was manual work that produced errors, and under Indian GST the errors were not just inconvenient — mismatched purchase and sales data is a compliance risk. Management had no real-time view across departments.

The company wanted to digitise the whole business on a single platform rather than patch the gaps between tools. That meant accounting, buying, sales, manufacturing, import-export with customs duty, channel partner management, HR and payroll — all with Indian GST compliance built in. ATS delivered it as a full ERPNext implementation, the AnvikERP (ERPNext) rollout described here.

Our approach

Every function on one platform, GST built in

Delivered by our Backend Engineering practice.

ATS implemented ERPNext v14 across the business function by function on one instance: Accounting; Buying and Sales; Manufacturing with Bills of Materials; an Import-Export module with customs duty compliance and landed cost; Channel Partner Management; and HRMS with payroll. India-specific GST compliance is configured into the transactions themselves — tax templates, GST-ready invoicing and the filing data — rather than reconstructed at month end.

Multi-warehouse inventory replaced the spreadsheets that had tracked stock, with real-time quantities per warehouse. Because all functions write to one ledger and one item master, the reconciliation work disappears and management dashboards read live figures. The spreadsheet processes were retired as each function went live, so the company was never running two systems for the same job for longer than necessary.

  • Accounting, Buying and Sales on one ledger and one item master
  • Manufacturing with Bill of Materials
  • Import-Export module with customs duty compliance and landed cost calculation
  • Channel Partner Management
  • HRMS with payroll
  • GST and India compliance configured into transactions; multi-warehouse inventory

Architecture

ERPNext v14 with GST APIs and multi-warehouse inventory

The platform is ERPNext v14 on the Frappe Framework — Python, MariaDB, Vue.js — using the standard Accounting, Buying, Selling, Manufacturing, Stock and HR modules, with the import-export and landed-cost handling configured on top. GST APIs connect the system to the compliance process so that the data needed for filing is produced from the transactions rather than compiled by hand. REST APIs are available for any future integration.

Keeping the implementation on standard modules, configured rather than heavily customised, is what keeps it upgradeable and is the discipline behind our ERPNext implementation and Tally-to-ERPNext migration engagements: get the masters and opening balances right, configure compliance into the transactions, and retire the old process the day the new one goes live.

What changed

Spreadsheets gone, GST filing prep from 3 days to 4 hours

All business processes were digitised — 100% — and spreadsheet-based operations were eliminated. GST compliance automation reduced monthly tax filing preparation from 3 days to 4 hours. Inventory accuracy improved to 99%+ with real-time multi-warehouse tracking, and automated import duty and landed cost calculation improved product costing accuracy by 35%.

HRMS payroll processing fell from 2 days to under 2 hours per month. For ERPNext in a discrete manufacturing plant with quality management, see Jyoti CNC Automation; for moving an existing Tally ledger onto ERPNext, see ERPNext migration services.
