Prem Plumbings: ERPNext and Frappe HRMS on one platform, from spreadsheets to a single ledger

Stock on paper and stock on the shelf had drifted apart, and month end meant assembling the same numbers by hand every time. ATS Global Techsoft implemented ERPNext alongside Frappe HRMS on one Frappe platform, staged module by module so the business kept trading through the transition.

The challenge

Spreadsheets for the business, standalone tools for the people

Prem Plumbings ran stock, purchasing, sales and its people records across spreadsheets and standalone tools. Each file was accurate when it was written and stale shortly afterwards. Stock on paper and stock on the shelf drifted apart because nothing tied a sale, a receipt and a movement together at the moment it happened.

Month end was the visible cost. The same numbers were assembled by hand every cycle, and nobody could answer a question about margin or availability without opening three files and trusting that all three had been updated. GST filing sat at the end of that chain, which meant compliance depended on a reconciliation that had already proved unreliable during the month.

ATS Global Techsoft implemented ERPNext alongside Frappe HRMS on a single Frappe platform. The ERP side covers the chart of accounts, the purchase and sales cycles, multi-warehouse stock with reorder levels, and GST-compliant invoicing and returns. HRMS covers the employee lifecycle, attendance, leave and payroll, posting into the same ledger rather than into a separate system that has to be journalled across afterwards.

Existing masters and opening balances were migrated in rather than re-keyed, which is the step that decides whether people trust the new system in week one. The rollout was staged module by module, so at no point was the business asked to stop trading while a big-bang cutover was proved. That sequencing is the same one we use on ERPNext migrations generally: the migration is the project, the software installation is an afternoon.

Architecture

ERPNext, Frappe HRMS, Frappe Framework, Python, MariaDB

ERPNext and Frappe HRMS run on one Frappe Framework deployment against a single MariaDB database. Keeping HR inside the same system as finance is what allows payroll to post directly to the accounts, and it is the difference between a monthly journal entry somebody has to remember and a ledger that is already correct.

Stock is configured across multiple warehouses with reorder levels, so availability is a query rather than a count, and the purchase cycle is driven from those levels rather than from memory. GST invoicing and returns are generated from the same ledger that records the transaction, which removes the reconciliation step that used to sit between the books and the filing.

What changed

One system from purchase order to GST return

Purchasing, sales, stock, accounting and payroll run on one system rather than across spreadsheets and standalone tools. Multi-warehouse stock is recorded with reorder levels, so availability is read from the system instead of counted, and GST invoicing and returns are produced from the same ledger that records the transaction rather than from a month-end reconciliation.

Payroll posts to the accounts directly, which removes the journalling step between HR and finance entirely.
